Files Replicator Tool

The Files Replicator tool allows users to replicate a file or a list of files for each person or item in a given list.

Sample Usage: Human Resource

Human Resource (HR) sends new employees a long list of forms, sometimes they are in different formats such as pdfs and word documents, to fill to complete the paperwork in the recruitment process.

To help organize files, emails tend to contain, please rename your file to “Your Name (File Name)” or something along those lines.

The Files Replicator tool replicates creates a folder for each person or item given in the text file.  Inside each folder, all the files selected are replicated and renamed in the format of “Name in text file (File Name)”.

Once generated, HR now has folders of every name they used containing all files necessary to be filled. This may be shared to the new employee to simply fill and submit. 

This eliminates the need for renaming files or having to keep track of who submitted which file as the new employee will already be given all the files with their names in it. Therefore, it will help organize all the documentations in one place.

Furthermore, this tool allows replicating any type of file (pdf, excel, word etc.)

MacOS: Use Wine to run the program.

Disclaimer: Your antivirus may flag the program as unsafe. This is because it is a new software which hasn’t been scanned previously. To run the program, let your antivirus run the program.

Alternatively: Download the (.zip) file and use extract the compressed zip file.

Step 1: Install Files Replicator (Option 1)

After clicking on the Download Now button above, open the Files Replicator Installer.exe file.

When asked to allow for the program to make changes – Say Yes. You will then see the installer.

Click on install and and then close the installer. You will now find the software in your Desktop inside the One Click Solutions folder. In this case the name of the folder will be Files Replicator which will contain the following files:

Step 1: Extract the compressed file (Option 2)

You may extract a compressed file using tools such as WinRAR or 7zip.

Right-click on the Files Replicator.zip file and click extract or extract to folder.

 

Step 2: Add names of persons to replicate for

The next step is to paste the names of people you want to replicate files for. In this case, the names of your new employees into the NamesOfPersons.txt text file.

These names will serve as the filenames for the replicated documents.

Step 3: Have your File(s) ready

The assumption is, you already have your Files that you want to replicate.

Note: You may replicate any kind of file including and not limited to Word Documents, PDFs, Excel Files etc.

For this tutorial, we will use the files inside the Sample HR Forms folder for demonstration purposes. These are files created or downloaded from the internet.

Step 4: Run Files Replicator.exe

Now, we are ready to use the Files Replicator Program. Double-click or open Files Replicator.exe (it has the same icon as shown above).

Give it a few seconds up to a minute and you will be shown the File Dialog Box to select the File(s) you want to replicate.

In this tutorial, we will use the files inside the Sample HR Forms folder to replicate. Please select your own file(s) to replicate. 

Note: You may select more than 1 files to replicate.

Step 5: See Results

To see the files replicated, open the Result folder.

It is recommended to sort by ‘Date Modified’ by clicking on the column. This will help you find the latest replication of your files.

Selecting the top result after sorting, you will see the name(s) of the person you selected for replication as the folder name.

Inside each person’s folder, you will see the files replicated.

You can upload all the folders into One Drive or Google Drive and share to your new employees to fill in.
